When a release is marked as Needs Documentation, it means ChilClick requires additional proof that you have the legal rights to distribute and monetize the content.
This status is used to protect artists, labels, and stores from copyright, trademark, or licensing violations.
Below are the most common reasons a release may be reviewed, along with examples of acceptable documents.
Common Reasons for Documentation Requests #
Audio Similarity Matches #
All new uploads are checked against a global music rights database.
If your audio closely matches an existing recording, your release may be flagged.
Common causes:
- Use of samples or loops from existing recordings
- Use of non-exclusive or leased beats
- Instrumentals purchased from third-party producers
Acceptable proof may include:
- A signed agreement showing permission from the copyright owner
- A valid beat or sample lease/license
- Any legal document proving the audio was obtained lawfully and approved for commercial use
Artwork Copyright Issues #
A release may require documentation if the cover artwork contains copyrighted or protected material.
Common causes:
- Images from movies or television shows
- Photos of celebrities or public figures
- Logos, brand marks, or trademarked designs
Acceptable proof may include:
- A signed usage agreement from the copyright owner
- Written confirmation that the artwork is original or public domain
Use of Well-Known Artist Names #
Artist names that are widely recognized or protected may trigger a review to prevent misuse or impersonation.
Acceptable proof may include:
- A signed agreement allowing use of the artist’s name
- Written consent from the artist or their authorized representative
- A waiver from the label or rights holder
- Any valid legal document proving authorized usage
Cover Songs #
If your release includes a cover song, documentation may be required to confirm that a valid cover license has been secured.
Cover licenses must authorize the commercial distribution of the composition.
